Please read these terms carefully before booking a vehicle through krakowcarrental.com.
1. Introduction and Acceptance
These Terms of Service ("Terms") govern your access to and use of the krakowcarrental.com website (the "Platform") and any vehicle rental services arranged through it. By visiting the Platform, making an enquiry, or completing a booking, you confirm that you have read, understood, and agreed to be bound by these Terms in full.
If you do not agree with any part of these Terms, you must not use the Platform or proceed with a booking. krakowcarrental.com reserves the right to amend these Terms at any time. Continued use of the Platform following any amendment constitutes your acceptance of the revised Terms. The date of the most recent revision is shown at the foot of this page.
These Terms apply to all visitors, registered users, and anyone who completes or attempts to complete a vehicle reservation through the Platform. They should be read alongside our Privacy Policy and Cookies Policy.
2. Eligibility Requirements
To book a vehicle through krakowcarrental.com you must meet the following eligibility criteria at the time of pickup:
Minimum Age
The minimum rental age for standard vehicles (economy, compact, and mid-size categories) is 21 years old. For premium, executive, and large SUV categories, the minimum age is 25 years old. Drivers aged 21-24 may be subject to a young-driver surcharge applied by the local supplier at the rental counter. This surcharge varies by vehicle category and supplier.
Driving Licence Requirements
All drivers must hold a full, valid driving licence that has been held for a minimum of one year at the date of pickup. The licence must be presented in original form - photocopies are not accepted. Drivers holding a European Union or United Kingdom licence may present it without additional documentation. Drivers whose licence was issued outside the European Economic Area must also carry a valid International Driving Permit (IDP) issued in accordance with the 1968 Vienna Convention on Road Traffic. An IDP alone is not sufficient - it must accompany the national licence at all times.
Identity Verification
A valid government-issued passport or national identity card must be presented alongside the driving licence at the time of pickup. Non-EU nationals may be required to present a passport with a valid entry stamp or visa where applicable under Polish immigration law.
3. Bookings and Cancellation Policy
Reservation Process
A booking is confirmed when you receive a written confirmation email from krakowcarrental.com or its nominated supplier partner. A confirmation number will be issued at this stage and must be referenced in any subsequent correspondence. We recommend printing or saving this confirmation for presentation at the rental desk.
Bookings may be made online 24 hours a day. Same-day and last-minute reservations are subject to vehicle availability at the relevant pickup location, which includes Kraków John Paul II International Airport (KRK), Kraków Glówny train station, and partner locations in the Old Town and Kazimierz districts.
Free Cancellation
Most vehicle categories offered through the Platform include free cancellation up to 48 hours before the scheduled pickup time. Where a booking is eligible for free cancellation, this will be clearly indicated at the time of booking and in the confirmation email. To cancel, log into your account or use the cancellation link included in your confirmation email.
Late Cancellations and No-Shows
Cancellations made within 48 hours of the scheduled pickup time may be subject to a late cancellation fee equivalent to one day's rental rate for the booked category. Failure to collect the vehicle at the confirmed pickup time and location without prior notification (a "no-show") will result in forfeiture of any prepaid amounts and the reservation will be released. No refund will be issued for no-show bookings.
Amendments
Booking amendments - including changes to dates, vehicle category, or pickup location - are subject to availability and may result in a revised rental rate. Amendment requests must be submitted at least 24 hours before the original pickup time. Amendments requested after pickup commencement are governed by the supplier's own terms.
4. Pricing and Payment
Displayed Currency and Rates
All prices displayed on the Platform are shown in Euros (EUR) unless otherwise stated. Rates are per calendar day and are based on a 24-hour rental period. Partial days are charged as full days. Daily rates vary by season, vehicle category, and booking lead time. Advertised rates from EUR 18/day refer to economy categories booked during the low season (November through February).
What Is Included
Unless the booking confirmation states otherwise, the quoted rate includes: unlimited mileage, basic third-party liability insurance as required under Polish law (OC - Odpowiedzialnosc Cywilna), and local taxes. Airport delivery where offered is included at no extra charge for pickups at KRK Airport.
Optional Extras
The following extras may be added at the time of booking or at the rental counter, subject to availability and an additional daily charge:
- Satellite navigation (GPS) device
- Infant car seat (group 0/0+, up to 13 kg)
- Toddler child seat (group 1, 9-18 kg)
- Booster seat (group 2/3, 15-36 kg)
- Additional authorised driver
- Cross-border travel permit (required for travel outside Poland)
- Winter tyres supplement (mandatory for travel to mountain regions including Zakopane/Tatra area between November and March)
Fuel Policy
The default fuel policy is full-to-full: the vehicle is provided with a full tank and must be returned with a full tank. If the vehicle is returned with less fuel than at collection, a refuelling charge will be applied by the supplier at the prevailing local pump rate plus a service fee. Prepaid fuel options may be offered by individual suppliers at checkout.
Payment Methods
The Platform supports payment by debit card and credit card. For no-deposit bookings, a debit card in the primary driver's name is accepted without any pre-authorisation hold. Credit card hold requirements, where applicable to specific vehicle categories or suppliers, will be clearly disclosed before confirmation. krakowcarrental.com does not store full card details; payment processing is handled by PCI-DSS-compliant third-party processors.
5. Vehicle Use Rules and Prohibited Activities
Lawful Use
The rented vehicle must be used only for lawful purposes and in accordance with the Polish Road Traffic Act (Prawo o ruchu drogowym) and all applicable European Union regulations. The primary driver named on the rental agreement is responsible for the vehicle at all times during the rental period.
Prohibited Uses
The following uses are strictly prohibited and will void any insurance coverage, resulting in full liability for damage or loss:
- Off-road driving or use on unmade tracks or surfaces not designated for motor vehicles
- Participation in any form of motor racing, speed testing, or competitive driving event
- Sub-letting, re-hiring, or otherwise allowing any person not named on the rental agreement to operate the vehicle
- Driving under the influence of alcohol, drugs, or any substance that impairs ability to drive. Poland enforces a strict legal limit of 0.2 mg/ml blood alcohol concentration (BAC) for drivers
- Transporting goods, materials, or persons for commercial reward or hire
- Pushing, towing, or propelling any other vehicle or trailer unless expressly authorised by the supplier
- Crossing international borders without a prior written cross-border permit issued by the supplier
- Using the vehicle to access restricted zones in Kraków city centre where Low Emission Zone regulations apply, unless the vehicle meets the applicable emission standard
Smoking and Pets
All vehicles are non-smoking. Smoking inside the vehicle will result in a cleaning surcharge applied at the supplier's discretion. Pets may be transported only with prior written approval from the supplier and may require a protective seat cover.
6. Insurance and Liability
Basic Coverage Included
All vehicle rentals arranged through krakowcarrental.com include mandatory third-party liability insurance (OC) as required by Polish law. Collision Damage Waiver (CDW) reducing the renter's financial exposure for damage to the rental vehicle is included on most bookings; the applicable excess amount will be stated in the booking confirmation.
Excess Amounts
Standard CDW excess amounts range from EUR 500 to EUR 2,000 depending on the vehicle category. In the event of an at-fault accident or damage caused during the rental period, the renter is liable up to the excess amount stated on the rental agreement. The supplier may charge this amount to the payment method held on file.
Optional Full Coverage and Zero Excess
An optional full coverage upgrade reducing the excess to zero (EUR 0) is available on most categories for an additional daily fee. This may include Super Collision Damage Waiver (SCDW), theft protection, and personal accident insurance. Details and pricing are disclosed at the booking stage.
Exclusions
Insurance coverage does not apply to, and the renter bears full liability for: damage caused while the vehicle is being operated in violation of these Terms or the rental agreement; damage to tyres, wheels, windscreen, underbody, or roof unless a specific glass and tyre protection product has been purchased; and any loss arising from theft where the vehicle was left unlocked or keys were not secured.
7. Limitation of Liability
krakowcarrental.com operates as a vehicle rental comparison and booking platform. It acts as an intermediary connecting customers with independent vehicle rental suppliers operating in and around Kraków and Lesser Poland Voivodeship. krakowcarrental.com is not itself a vehicle rental company and does not own, operate, or maintain any rental fleet.
To the maximum extent permitted by applicable Polish and European Union law, krakowcarrental.com's liability in connection with any booking, rental transaction, or use of the Platform is limited to the total booking fees paid to krakowcarrental.com directly in connection with the affected reservation. krakowcarrental.com accepts no liability for the acts or omissions of independent supplier partners, including but not limited to vehicle condition, service quality, or failure to honour a confirmed booking.
krakowcarrental.com shall not be liable for any indirect, incidental, consequential, or special damages arising from use of the Platform or from a vehicle rental arranged through it, including loss of enjoyment, missed connections, or travel disruption.
Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded under Polish consumer protection law (Ustawa o prawach konsumenta).
8. Governing Law and Jurisdiction
These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes or claims) are governed by and construed in accordance with the laws of the Republic of Poland. The courts of Kraków, Lesser Poland Voivodeship, shall have non-exclusive jurisdiction to settle any dispute or claim arising out of these Terms or a booking made through the Platform.
If you are a consumer resident in another European Union member state, you retain the right to bring proceedings in the courts of your country of domicile where mandatory local consumer protection law so provides.
European Union consumers may also refer disputes to the EU Online Dispute Resolution platform at ec.europa.eu/consumers/odr.
